Position Overview
The Fleet and Equipment Coordinator is responsible for managing the company's service vehicles, application equipment, inspection tools, safety equipment, and related operational assets. This role helps ensure technicians have access to reliable, properly maintained resources that allow them to perform their jobs effectively and safely.
The position combines vendor coordination, maintenance scheduling, asset tracking, purchasing support, inventory management, and operational planning. Unlike field service positions, customer-facing sales roles, or branch leadership positions, this role focuses on the systems and equipment that support daily operations behind the scenes.
The successful candidate will be highly organized, detail-oriented, and comfortable working with maintenance providers, equipment suppliers, field employees, and company leadership.

Key Responsibilities
- Coordinate preventive maintenance schedules for company vehicles.
- Maintain records for inspections, registrations, warranties, and service histories.
- Track vehicle utilization and replacement planning.

- Monitor fuel usage and identify unusual consumption patterns.
- Manage inventories of sprayers, dusters, bait stations, traps, monitoring devices, ladders, and safety equipment.
- Conduct routine audits of field equipment condition and availability.
- Coordinate ordering of replacement tools and operational supplies.
- Support onboarding of new technicians by preparing vehicle and equipment assignments.
- Maintain asset tracking systems and equipment databases.
- Work with operations leadership to forecast equipment needs.
- Investigate equipment failures and identify corrective actions.
- Coordinate disposal or replacement of outdated assets.
- Ensure vehicles and equipment meet company safety standards.
- Assist with budget planning related to fleet and equipment expenditures.

Work Environment
This position is primarily office-based but includes regular visits to company facilities, maintenance providers, storage areas, and operational locations throughout the Greater Boston region.
The role involves frequent interaction with technicians, supervisors, mechanics, suppliers, and administrative personnel. Some physical activity is required, including inspecting equipment, moving supplies, and conducting inventory audits.
Standard working hours are Monday through Friday, although occasional flexibility may be required when responding to urgent operational issues.
Required Qualifications
- Minimum of three years of experience in fleet coordination, equipment management, logistics, facilities support, operations administration, or a related field.
- Strong organizational and recordkeeping skills.
- Experience working with vendors and service providers.
- Proficiency with Microsoft Office applications.
- Ability to manage multiple priorities simultaneously.
